Our client, a growing large-format print and design business based in Essex, is looking to recruit a highly organised and detail-focused Project Coordinator to support its Project Management team.
This role is ideal for someone who enjoys working with structured data, systems, and processes, and who is looking to build a career in project coordination and project management within a fast-paced, creative production environment.
The Role:
The Project Coordinator plays a key support role across the full project lifecycle. The primary focus is ensuring project information is accurate, complete, and functioning correctly within Smartsheet, while also supporting quoting, coordination, and health & safety documentation.
This position offers structured development into broader project management responsibilities, including learning to prepare RAMS and method statements.
Key Responsibilities:
Project Data, Systems & Quality Control:
Check and verify project information entered by multiple teams to ensure accuracy and consistency
Ensure all project hyperlinks, documentation links, and references are correct and functional
Maintain and monitor Smartsheet workflows, spreadsheets, formulas, and automations
Carry out quality control checks before projects move into production or site
Identify errors, inconsistencies, or missing information and proactively resolve them
Support continuous improvement of project systems, templates, and processes
Quoting & Project Support:
Assist with preparing accurate project quotations
Support Project Managers with coordination from enquiry through to delivery
Track project deadlines, requirements, and key information
Assist with change control, variations, and basic cost tracking
Take ownership of smaller projects as experience develops
Health & Safety, RAMS & Method Statements:
Learn to prepare and review Risk Assessments and Method Statements (RAMS) under supervision
Assist with method statements aligned to project requirements and site conditions
Ensure health & safety documentation is correctly stored, linked, and accessible
Support compliance with internal health & safety processes
Communication & Reception Support:
Answer overflow incoming calls during peak periods
Direct calls professionally to the correct teams or individuals
Act as a friendly and professional point of contact when required
Liaise with internal teams including design, production, and logistics
The Ideal Candidate:
Highly organised with strong attention to detail
Confident working with spreadsheets, formulas, links, and structured data
Strong Excel skills essential; Smartsheet experience desirable
Interested in learning quoting, project coordination, and health & safety documentation
Clear and professional communication skills
Proactive mindset with the ability to identify issues and suggest improvements
Able to manage competing priorities in a busy environment
Comfortable working independently while supporting multiple teams.
