Role Description:
Our client, a highly reputable company operating within the cleaning and FM industry, currently has an exciting opportunity for a Soft Service Contract Manager to join their team. As Contracts Manager, you will be responsible for providing outstanding operational management of soft services for this retail site. The ideal Contract Manager will have had experience in a similar working environment and will be heading a team of site-based operatives, ensuring they comply with company standards.

Responsibilities:

  • You will head a team of site-based operatives, be a results driven, people manager with considerable understanding of customer services excellence within the commercial / property / retail sectors
  • You will drive operational improvement to ensure first class relationships and the delivery of exceptional customer service levels at all times
  • Enhanced customer relationship abilities, you will be an excellent communicator, a clear decision maker and adept in the development of ideas and opportunities and the continuation of long-term relationships
  • Promote equality, diversity and Human Rights in working practices
  • Successful management of team rosters, ensuring accurate and complete information is inputted onto system in a timely manner
  • Daily checks of time and attendance
  • Managing colleague placements to ensure correct roles, pay rates and shifts are allocated to new starters and existing colleagues
  • Maintaining absence records including holiday approvals, absence and statutory leave
  • Uploading all new colleagues on to the system with the correct documentation and Right to Work in UK documentation 
  • Ensuring all team members have the correct Right Work within the UK
  • Regular reviews of Assignment Instructions 
  • Compliance control in line with the company accreditations SIA, ACS etc.
  • Effective performance and capability management including conducting probation reviews, quarterly performance reviews, annual appraisals and return to work 
  • interviews
  • Maintaining colleagues records including absence records, licences such as SIA, leavers and so forth
  • First aid training
  • Conducting audits
  • Implementing work schedules
  • Where miscellaneous payments for colleagues need to be made outside the system, submitting miscellaneous payment forms in a timely manner for authorisation and processing
  • Creating PowerPoint presentations for monthly SLA meetings
  • Submitting all company documentation in a timely manner to all departments including HR, H&S and Finance 
  • Auditing of all equipment logs, cheek sheets, DOB etc.
  • Control and review all budgets relating to operational delivery (to include hours, colleagues, standards, uniforms, materials, training and so forth) to ensure budgets are maintained and there is minimal/no wastage
  • Proactively seek margin improvements and cost savings
  • Tight control of hours worked on site
  • Provide any specials timesheets to financial for additional hours worked
  • Any non-budgeted spending to be notified to finance for recharge
  • Be responsible for embedding a risk aware culture at site level
  • Conduct risk assessments for colleagues
  • Conduct audits as expected by H&S Manager in line with ISO 18001 / 14001 / 9001
  • Prepare method statements and COSHH assessments
  • Communicate the importance of reducing risk by explaining the implications for / to the individual, customer and company
  • Conduct quarterly welfare review with all dedicated night colleagues
  • Liaise with HR department to organise annual medical assessments for dedicated night colleagues, this is only on request of the night worker and is not mandatory

Requirements:

  • Experience of managing large teams of varied functionality

  • Capable of managing change quickly and efficiently whilst maintaining effective service provision

  • SIA licensed
